AI visibility tool, or a manual check of ChatGPT?

TL;DR

Do I need an AI visibility tool, or can I do this manually? Count the hours. At 3 minutes a check, one weekly check on the 6 platforms a person can ask costs 1.2 hours per prompt every 28 days. That is 24 hours for 20 prompts, 60 for 50 and 120 for 100. The Starter plan covers 50 prompts, so compare its monthly price with 60 hours of your time. Keep the sheet for a one-time look, and use a tool for weekly counts.

In the 90 days to 29 October 2026, Google showed fullreach.ai 11 times for this exact question, at an average position of 10.5. Grok searched the web for "alternatives to manually checking AI visibility in ChatGPT" 11 times in the 28 days to 30 October 2026. This guide counts the hours of the manual route on the 6 AI platforms a person can ask, and shows the spreadsheet it needs. It then names what a script on the APIs must add, and computes the prompt count at which a plan costs less than the hours. For the manual check itself and its three traps, read how to track brand mentions in ChatGPT.

Do I need an AI visibility tool, or can I do this manually?

You can do this manually for a one-time look, and you need an AI visibility tool once you want the same count every week. The decision is arithmetic: the hours of a weekly manual check against the monthly price of a plan. At one check a week on 6 platforms, every prompt costs 1.2 hours in 28 days. Our guide on what an AI visibility tool is lists the four cases that need a tool. This guide prices each of those cases in hours.

How many hours does a manual check take?

In this guide's table, one check of one prompt on one platform takes 3 minutes: ask, read, and note the brands and sources. The 3 minutes are an assumption, not a measurement. Time your own check in step 1 of "What to do next", and scale the table by your figure. The table counts the 6 platforms a person can ask: ChatGPT, Gemini, Perplexity, Copilot, Google AI Mode and Grok. Our project asks a 7th platform, Google AI Overviews. It stays out of the table, because an overview appears on some Google searches and takes no question of its own. The table counts one check a week, and then one a day.

At one check a week, the manual route costs 1.2 hours per prompt every 28 days. At one check a day, it costs seven times that: a daily check of 20 prompts takes 42 hours a week. The rest of this guide prices the weekly cadence.

What does the spreadsheet need?

The spreadsheet needs one row per answer, so every number you report later has its answers behind it. Our guide on Share of Voice holds the share you compute from such a sheet.

ColumnWhat you writeThe number it feeds
DateThe day you asked.The trend.
PlatformThe platform you asked, one of the 6 in the hours table. The platform split.
PromptThe exact wording you asked. The prompt split.
Brands namedEvery brand in the answer, in the order the answer names them.Visibility and Share of Voice.
RecommendedThe brand the answer tells the reader to pick, if any.Recommendation status.
Cited domainsThe domain of each source link.Sources.
Searches shownThe web searches the platform shows with the answer, when it shows them. The searches behind the answer.

Keep the wording of a prompt fixed. A reworded prompt starts a new series, and the old rows no longer compare with the new ones. FullReach AI does the same: a reworded prompt starts its count at zero, and the answers to the earlier wording stay readable apart from it.

Can a script on the APIs replace a tool?

A script on the APIs can collect answers, and it replaces a tool only when it adds what the app does on its own. Our guide on tracking ChatGPT explains why an API answer differs from the app's answer, and what a script must add to close that gap.

A script must also ask again after a failure. Each of our 47 prompts with answers had 85 to 156 failed attempts in the 28 days to 30 October 2026. The count covers the 7 AI platforms together. A script that asks once loses that day's answer on that platform, and an empty day reads like a day without a mention. The script must also store the answer text, label each mention and run every day. Our guide on alternatives to GEO tools sets the script beside suites, agencies and sheets, with a decision table by team size.

What does a tool see that a manual check does not?

A tool sees about one answer per prompt, per platform, per day, and a weekly manual check sees one in seven. In the 28 days to 30 October 2026, on 7 AI platforms, 44 of our 47 prompts got 189 to 193 answers each. The other 3 prompts joined the list after the window began, so they had 171 answers each. A weekly check on 6 platforms stores 24 answers per prompt in 28 days. On each platform, the weekly check keeps one answer of the seven that the platform gave. Our guide on why the numbers move measures how much an answer changes from one day to the next.

When does a tool cost less than the hours?

A tool costs less than the hours when its monthly price is below your hourly cost times the hours in the table above.

The Starter plan covers 50 prompts on every platform. By hand, 50 prompts take 60 hours in 28 days at one check a week. The plan costs less than those hours when an hour of your time costs more than about 1€. The table takes three hourly costs as examples. Replace them with yours.

An hour of your timeThe Starter plan costs less fromHours of those prompts in 28 days
25€3 prompts3.6
50€2 prompts2.4
100€1 prompts1.2

Below the break-even count, the sheet costs less. Our guide for freelancers holds the ten prompts of a service business and a monthly routine of 30 minutes. Above it, the plan costs less, and it bills its whole allowance whether you fill it or not. A tool that covers one platform leaves the other platforms to the manual route, so count those hours too. Our pricing guide prices every plan we compare. FullReach AI costs 65€, 165€ and 360€ a month, billed yearly, for 50, 150 and 350 prompts, with every platform included.
